How to import Assets using the Asset Import Tool?

What is Asset Import Tool?

The Asset import Tool is a tool for bulk loading Assets using an Asset Type template.

Pre- requisites:

  1. Import Assets permission must be granted.
  2. Asset Types need to have been created.
  3. Custom fields need to have been created where applicable.
  4. Zones need to have been created.

 

Step 1:

 Navigate to the Site that the Assets will be Imported into.

On the Menu, Click on Tools menu item as shown on the below screenshot.

Note: The Tools Menu item will only show when you have permission to Import Assets.

 Step 2:

The Tools screen will display as shown below.

 Step 3:

Please click on Asset Type field and search or select the Asset type to use as a Template.

 Step 4:

Click on the Download Template button and the Template will download in Excel.

 Step 5:

Populate the Template with your information.

You should see the Internal Id, Barcode, Risk – these are Standard columns. They cannot be left empty.

The rest of the columns are Custom fields if present, if custom field is required then it cannot be left empty.

 Once populated, your sheet will look something like this.

Step 6:

If you scroll to bottom of the Excel sheet, note the Zones tabs, see below screenshot.

When populating the spreadsheet, insert the Assets into the correct Zones to avoid having to manually move them later.

 Step 7:

Once your Template is populated with your information, Under the Upload Asset Import Template, click on the Select file button and select the file that you just populated as shown below.

Click on Upload button.

Step 8:

You will see a pop-up message at the bottom of the screen confirming that an email will be sent to you once the Assets have been imported.


 Step 9:

Once the email arrives, click on the View Summary button link to confirm that the assets were imported.

You can also navigate to the Site or Asset Type to confirm that the assets have been Imported.

Step 10: 

Successfully imported assets will be displayed as shown below.

Failed imports will be displayed in pink as shown below.

If you hover with your mouse over the pink field, then you will see what the issue is.
