How to create Linked Custom Fields?

What are Linked Custom Fields and how do they work?

  • Linked Custom fields allow for values to be displayed in a Predefined list based on the value that is selected from another predefined list.
  • A Linked Custom field must have a Predefined list to be used as a Linked field.
  • Only Custom fields that have Predefined list will be shown on the drop down for the Linked fields.
  • Once the Linked value field is selected, the Predefined list needs to be edited, and link values must be assigned to the Predefined list.
  • All Linked values must be assigned a Predefined value.
  • More than one custom field can be linked, i.e. creating interlinked fields.
  • Linked custom fields have an option to restrict free text.
  • Linked Parent custom fields can only have a default value from a Predefined list.
  • Linked Child custom fields cannot have default values.
  • Custom fields without linked fields can still be created.


Pre-requisite:

Mobile app version: 4.17.7

 

Step 1:

Click on the Asset Types navigation bar item, found on the left beneath the Job Types navigation bar item.

This will take you to the below screen.

You can also search for an Asset Type that needs to be edited by using the search function, as shown below.

 

Step 2:

Click on the Asset Type and you will be taken to the Overview screen, which shows asset summary information as shown in the below screen.

Click on the Custom Fields menu item to create Linked Custom fields.

Step 3:

Create the Custom Field by clicking on the Add New button.

Enter the Field Label name.

Enable the Required field if applicable.

 

When done tap on the + Add New button to add the field.

Step 4:

The field will then be added as shown below.

Add Predefined options by clicking on the Add button.

 

 Type the Predefined value and click on +Add button

More Predefined values can be added as required.

You can use the ‘Only Allow Predefined Values’ toggle to enforce selection from the list or allow response to be typed in if not on the Predefined list.

Once done adding Predefined options, click on Save Predefined Values button.

Your list should look like the below once done.

Default values can be added as well if required.


Step 5:

Add more Custom fields by repeating Step 3 and 4.

Step 6:

To link the Custom fields, click on the Linked field to assign the values, as shown below.

 From the drop-down list, select the Custom Field to be linked.

Step 7:

Click on the Edit button under the Predefined values to assign the values.

 Click on the Linked Value drop down to select values to assign.

 Select the Linked value to assign to the Predefined Value.

Once all the Predefined values are assigned Linked Values, click on the Save Predefined Values button.

 

Step 8:

Below step is optional, it is included to show Interlinked Custom fields.

From the drop-down list, select the Custom Field to be linked.

Step 9:

Once setup, the Custom fields which have Linked values will display as shown below.

Step 10:

On the Mobile App, when onboarding an asset, tap on the Select to bring up the list options.
Note that the child fields will be greyed out until the Parent field is selected.

 Select from the list options as shown below.

 Once done the onboarding can be completed.
